An exciting opportunity awaits at our dynamic e-commerce company in Lagos. We are seeking a dependable and tech-savvy Personal Assistant to join our experienced team in Lekki Phase 1. As a personal assistant, you will play a pivotal role in managing both personal and professional tasks for our clients, using your technical skills to boost efficiency and productivity.
Key Responsibilities of a Tech Savvy Personal Assistant
Vendor Research and Procurement
- Conduct thorough research on vendors.
- Compare and evaluate offers from various suppliers.
- Assist in negotiating contract terms and pricing agreements.
- Review the quality of purchased products to ensure standards are met.
- Enter order details (e.g., vendors, quantities, prices) into internal databases.
- Maintain updated records of purchased products, delivery information, and invoices.
- Prepare detailed reports on purchases, including cost analyses.
Client Liaison and Administrative Support
- Serve as the primary point of contact for clients’ business, building a strong working relationship and understanding the unique needs of their business.
- Efficiently manage schedules, including arranging meetings, appointments, and coordinating personal and professional commitments.
- Handle email correspondence, draft documents, and maintain organized digital records to ensure prompt and professional communication.
- Provide technical assistance, including troubleshooting computer and device issues, setting up and maintaining technology tools, and assisting with software and application usage.
- Conduct online research, gather information, and prepare reports or presentations as required by clients.
Project Coordination and Confidentiality Management
- Assist in coordinating various personal and professional projects, ensuring deadlines are met and resources are allocated effectively.
- Handle sensitive and confidential information with the utmost discretion.
- Manage databases and assist with data entry and analysis as needed.
Financial Management and Reporting
- Track and reconcile expenses.
- Prepare detailed expense reports and ensure adherence to budget guidelines.
- Prepare meeting materials, take minutes during meetings, and follow up on action items as directed.
Essential Requirements
- Location: Must reside close to Lekki Phase 1.
- Experience: 2-3 years of proven experience in a similar role.
- Technical Skills: Excellent computer skills, including proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
- Organizational Skills: Strong organizational and time management abilities.
- Communication Skills: Excellent written and verbal communication capabilities.
- Professional Skills: A professional approach to work, with the ability to multitask and prioritize under pressure to meet deadlines.
